Draft for Ladles of Love's review
Draft of 23 September 2026. This text is not legal advice and is not yet in force: it becomes the terms of use once Ladles of Love has reviewed and approved it.
Terms of use
The licence under which a person uses One Pot, and how One Pot works with Ladles of Love's QuickBooks company.
Who we are
One Pot is the digital systems platform of the Ladles of Love Foundation Trust ("Ladles of Love"), which is the responsible party for the information One Pot holds. One Pot is built and operated for Ladles of Love by TurboPress, a trading name of Van Biljon Digital (Pty) Ltd (Reg. No. 2026/562544/07) ("TurboPress"), which acts as Ladles of Love's operator. One Pot will be served at one-pot.org; its test copy is one-pot.dev.
Who may use One Pot
One Pot is for Ladles of Love's staff and the people Ladles of Love authorises to work in it. There is no public sign-up: an administrator creates each account, and a person signs in with their Microsoft work account or with the password Ladles of Love issued. Keep your sign-in details to yourself. Your role decides what you can see and change, and access ends when Ladles of Love removes your account.
Ladles of Love licenses One Pot from TurboPress under their agreement. These terms give a person with an account the right to use One Pot for Ladles of Love's work, and for nothing else.
Using One Pot properly
- Use One Pot only for Ladles of Love's work, and the information in it only for the purpose it was collected for.
- Do not try to reach information your role does not show you, or to get around a sign-in or a permission.
- Do not copy personal information out of One Pot except as your work requires.
- Tell Ladles of Love at once if you think an account or any information has been exposed.
The QuickBooks connection
One Pot connects to Ladles of Love's QuickBooks Online company through Intuit's own sign-in (OAuth 2.0), and asks only for the accounting scope, com.intuit.quickbooks.accounting. An administrator of that QuickBooks company authorises the connection, and a One Pot super administrator makes it. QuickBooks stays Ladles of Love's books: One Pot raises the paperwork and reads the result back, and Ladles of Love's accounts team approves and sends from QuickBooks.
What One Pot reads from QuickBooks
- The company's name and id, to show which company is connected.
- Products and services, and tax codes, so an administrator can choose the ones an invoice uses.
- Customers, to find a supporter or a company already in the books.
- The invoices One Pot raised, and the payments applied to them, to show on the deal what has been paid.
- The profit and loss report, as a monthly summary for the Finance dashboard.
What One Pot writes to QuickBooks
- A customer, when a supporter or company One Pot invoices is not yet in the books.
- An invoice raised from a fundraising deal, with the item and tax code chosen for its pipeline and the deal's amount.
One Pot never edits, voids or deletes anything in QuickBooks, and never records a payment there: the accounts team records payments in QuickBooks and One Pot reads them back. A production connection is read from one-pot.org and one-pot.dev and written from one-pot.org only. The tokens Intuit issues are kept on the server, where no signed-in person can read them; they are never shown on a screen, written to a log or sent to a browser.
How to disconnect QuickBooks
In One Pot, a super administrator opens Settings, Integrations, QuickBooks and presses Disconnect (for the production connection, on one-pot.org). One Pot revokes its tokens at Intuit and deletes the connection.
In QuickBooks, an administrator of the company can disconnect One Pot from the company's connected apps. One Pot then stops reading and writing, and its QuickBooks page shows the connection as needing to be reconnected.
Either way, what One Pot has already recorded (an invoice number written onto a deal, for example) stays in One Pot as part of Ladles of Love's records, and nothing more is read or written until someone connects again.
Availability and changes
TurboPress maintains One Pot under its agreement with Ladles of Love, which sets out support, availability and liability; nothing in these terms changes that agreement. Ladles of Love may change these terms, and a changed version is posted on this page with its date.
These terms are governed by the law of South Africa.
